Wedding Budget Calculator

Understand exactly how your wedding budget breaks down with a calculator that shows its work, not just a final number.

Start here

A wedding budget calculator helps you allocate funds across categories like venue, catering, and attire. Start by entering your total available funds, then adjust each category slider to see how changes affect the overall plan. The calculator uses a transparent formula that you can review and modify, so you're not relying on a black box. Use the worked example to see how one couple applied the tool to their own numbers.

Costs you have been quoted

Everything that does not change with the guest count: venue rental, photography, flowers, attire.

Rentals, favours, transport — anything per head that is not food and drink.

The floor in your contract. Enter 0 if there is none.

Fees and taxes

Enter 0 if there is none.

Your own rate. WedClarity does not look up local tax.

What this calculator works out

Understand exactly how your wedding budget breaks down with a calculator that shows its work, not just a final number.

It answers

  • What is the maximum amount you and your partner are comfortable spending without financial strain?
  • Which three wedding elements are most important to you, and how much of the budget should they consume?
  • How many guests do you realistically expect, and how does that number affect per-person costs?
  • What is your plan for handling unexpected expenses that arise during planning?
  • Are you willing to adjust your guest list or priorities to stay within your budget?

Building a total from quoted lines at 120 guests

  1. Start with the fixed costs you have been quoted: $6,000.00.
  2. Add other per-guest costs at 120 guests: $2,160.00.
  3. Add food and beverage at 120 guests: $11,400.00.
  4. Apply the service charge to the food-and-beverage line only: $2,052.00.
  5. Total at 120 guests: $21,612.00.
  6. Re-run it at 100 guests: $20,510.00, a difference of $1,102.00.

Where this usually goes wrong

None of these are exotic. They are the ordinary ways this decision goes wrong, and each one is caught by asking a single extra question.

Watch for

  • Ignoring the guest count when setting category budgets, leading to underfunded catering or rentals.
  • Overlooking the contingency line item, then scrambling when a vendor requires a deposit you did not plan for.
  • Using a calculator that hides its formula, so you cannot verify whether the allocations fit your specific needs.

Questions couples ask

How accurate is this wedding budget calculator?

The calculator is as accurate as the numbers you enter and the formula you choose. It provides a framework for planning, not a guarantee of actual costs.

Can I use this calculator for a destination wedding?

Yes, but you will need to adjust categories for travel and logistics. The calculator's flexibility allows you to rename or add line items as needed.

What if my budget changes after I start planning?

Re-enter your new total funds and adjust sliders accordingly. The calculator is designed to be updated as you receive quotes and make decisions.

Your next decision

Once you have a budget framework, explore our vendor comparison tool to evaluate quotes against your allocations.

Assumptions this calculator makes

  • Every figure is a number you entered from your own quote. Nothing is a national average.
  • Food and beverage is tracked separately from other per-guest costs so it is never counted twice.
  • A food-and-beverage minimum is a floor on that one line, not an extra charge on top of it.
  • A percentage fee or tax applies only to the lines you attach it to.
  • Each line is rounded to cents, then the rounded lines are added.

What it does not do

  • Local sales tax and service-charge rules are not looked up. You supply the rate and the base.
  • Taxes and fees are not applied to each other unless you attach one to the other.
  • This is arithmetic on your inputs, not a quote and not a prediction of what a vendor will charge.
