This role-based checklist divides responsibilities across the couple, coordinator, setup team, and cleanup crew so nothing falls through the cracks on your wedding day.

The short answer

Start by assigning four distinct roles: couple, coordinator, setup, and cleanup. The couple focuses on getting dressed, personal moments, and being present; the coordinator holds the timeline and directs vendors; the setup team arranges decor and signs before guests arrive; the cleanup team collects all items and returns the venue to its original state.   • Assign one person to each role (couple, coordinator, setup, cleanup) and give them a printed list of their specific tasks.
  • Pack an emergency kit with safety pins, stain remover, pain relievers, bandages, and a sewing kit, then hand it to the coordinator.
  • Confirm that the setup team has a site map and a written list of where every item (signs, centerpieces, favors) belongs.
  • Designate a person to collect rings, vows, phones, and the marriage license immediately after the ceremony and lock them in a secure bag.
  • Schedule a five-minute briefing between the coordinator and the cleanup crew before the reception ends to review the venue's required out-by time.
  • Test every communication plan: ensure each role has the others' cell numbers and a backup walkie-talkie or group chat.

Take the list to the conversation, not to a notebook afterwards. Each item is phrased as something you can ask for in writing.

Decide these before you send it

  • Who is responsible for holding the master timeline and communicating changes to vendors throughout the day?
  • Which person will collect personal items (rings, vows, phones, emergency kit) and keep them secure before the ceremony?
  • How will the setup team know exactly where each decorative item goes, and who gives final approval before the ceremony begins?
  • What is the plan for transporting gifts, leftover food, and personal belongings from the reception to a car or designated home spot?
  • Who will manage the cleanup timeline so the venue is cleared within your contracted window and you avoid late fees?

Where this usually goes wrong

These are the failure modes that cost real money or real time. Each one is avoidable if you catch it before you sign.

Watch for

  • Leaving the emergency kit in the couple's room instead of giving it to the coordinator, so no one can reach it during the reception.
  • Not assigning a specific person to take home gifts and personal items, causing them to be left behind or loaded into the wrong car.
  • Assuming the cleanup crew knows the venue's recycling and waste rules, which can lead to fines or a lost security deposit.

Questions couples ask

When should the couple eat on the wedding day?

Schedule a private snack break right after the ceremony ends but before the reception begins. This keeps your energy up for photos and dancing without holding up your guests.

Who should hold the wedding rings during the ceremony?

Assign a trusted friend or family member—not the best man or maid of honor who might be busy with their own duties. Hand them the rings in a closed box right before the ceremony starts.

What do we do if a vendor is late on the day of?

The coordinator should call them immediately with the backup contact number from their contract. Your timeline should already include a ten-minute buffer for each transition to absorb delays.
